Cookie Policy

Board Summits Ltd  |  Last updated: 3 June 2026  |  v1.0

This Cookie Policy explains how Board Summits Ltd uses cookies and similar tracking technologies on the BOARD website. It should be read alongside our Privacy Policy. As a UK-registered company, our lead supervisory authority for data protection purposes is the Information Commissioner's Office (ICO). However, because the BOARD event takes place in Monaco, and our website is accessed by users located across the EU, we also observe the cookie standards set by Monaco's data protection authority, the Autorité de Protection des Données Personnelles (APDP), as well as those of France's data protection authority, the CNIL, under Article 82 of the French Data Protection Act, given the significant French and EU audience the event attracts. The standards applied by both the APDP and the CNIL closely mirror those required under EU GDPR, and this policy is designed to reflect all applicable requirements.

1. Who We Are

Company: Board Summits Ltd (Company No. 17019177)

ICO Registration No: ZC126084

Address: 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, U.K.

Contact: info@boardsummits.com

Board Summits Ltd is the data controller for cookies placed on the BOARD website. This means we are responsible for deciding which cookies are used and ensuring they are managed in compliance with applicable law.

2. What Are Cookies?

Cookies are small text files that are placed on your computer, tablet, smartphone, or other device when you visit a website. They are stored by your internet browser and sent back to the website on subsequent visits, allowing the website to recognise your device and remember information about your visit.

Cookies and similar technologies serve a number of functions: they can make a website work correctly, help us understand how visitors use the site, remember your preferences, and - where you have consented - deliver relevant content or advertising.

2.1 Session Cookies vs Persistent Cookies

Session cookies are temporary and exist only for the duration of your browser session. They are automatically deleted when you close your browser.

Persistent cookies remain on your device after your browser session ends, for a defined period of time. They are used to remember your preferences or recognise you when you return to our site.

2.2 First-Party vs Third-Party Cookies

First-party cookies are set directly by us (Board Summits Ltd) when you visit our website.

Third-party cookies are set by external organisations whose services we have embedded into our website, such as analytics providers, social media platforms, or video hosting services. These third parties have their own privacy and cookie policies, and we encourage you to read them.

2.3 Similar Technologies

In addition to cookies, we may use similar tracking technologies such as:

  • Web beacons (pixel tags): Small invisible images embedded in web pages or emails that allow us to track whether a page or email has been viewed.

  • Local storage: A browser feature that stores data locally on your device, similar to cookies but with greater storage capacity.

  • Session storage: Similar to local storage but cleared when your browser session ends.

References to 'cookies' in this policy include these similar technologies unless stated otherwise.

3. The Cookies We Use

We use four categories of cookies, as described below. Only strictly necessary cookies are placed on your device without your consent. All other categories require your active opt-in via our cookie consent banner.

3.1 Strictly Necessary Cookies

These cookies are essential for the website to function correctly. They enable core features such as navigation, secure access, and registration processes. Without these cookies, the website cannot operate properly.

Legal basis: These cookies do not require your consent as they are strictly necessary to provide the service you have requested. They are used on the basis of our legitimate interest in operating a functional website.

The specific cookies in this category are listed in the cookie consent banner on our website. The banner is the live record of all strictly necessary cookies currently in use and updates automatically whenever cookies are added or removed.

3.2 Analytics / Performance Cookies

These cookies help us understand how visitors interact with our website by collecting information about pages visited, time spent on the site, and any errors encountered. This data is used in aggregate form to improve the website's performance and content. We do not use this information to identify individual visitors.

Legal basis: Your consent. These cookies will only be placed after you have actively opted in via our cookie banner. You may withdraw consent at any time.

Note: Where our analytics configuration meets the CNIL's criteria for audience measurement under Article 82 - specifically where data is used solely by us, is not shared with third parties for other purposes, identifiers are site-specific, retention is limited, and no cross-site tracking occurs - these tools may operate without consent. In line with the CNIL's 2025 self-assessment framework, we document our assessment of whether this exemption applies and review it regularly. We will clearly indicate in our banner where this exemption is relied upon, and we maintain records of our self-assessment to demonstrate compliance.

The specific analytics cookies we use are listed in the cookie consent banner on our website, where you can review and update your preferences at any time. The banner updates automatically to reflect any changes to the tools we use.

3.3 Functionality / Preference Cookies

These cookies allow the website to remember choices you have made, such as your preferred language or region, to provide a more personalised experience. They may also be used to remember settings you have applied.

Legal basis: Your consent. These cookies will only be placed after you have actively opted in via our cookie banner.

The specific functionality cookies we use are listed in the cookie consent banner on our website, where you can review and update your preferences at any time.

3.4 Marketing / Targeting Cookies

These cookies are used to deliver advertising and promotional content that is relevant to your interests. They track your browsing activity across our website and may be used by our advertising partners to build a profile of your interests and show you relevant content on other websites.

Legal basis: Your explicit consent. These cookies will only be activated after you have actively opted in. You may withdraw consent at any time and this will not affect any processing that took place before withdrawal.

Please note: we do not use marketing cookies to target minors or engage in profiling of individuals under the age of 16.

The specific marketing and targeting cookies we use,  including those set by our advertising partners, are listed in the cookie consent banner on our website, where you can review, accept, or withdraw consent by purpose.

The third-party providers listed above may also place their own cookies independently. We endeavour to minimise such independent third-party cookies and only embed services where necessary. However, we cannot control cookies set directly by these providers when you interact with their embedded content. We recommend reviewing their privacy and cookie policies for further detail: Google (policies.google.com), Meta (facebook.com/privacy), LinkedIn (linkedin.com/legal/privacy-policy).

4. Your Consent and Cookie Banner

In compliance with EU GDPR, UK GDPR, and the specific requirements of France's CNIL under Article 82 of the French Data Protection Act, we operate a cookie consent banner that appears the first time you visit the BOARD website.

4.1 How We Obtain Consent

Our cookie banner is designed to meet the following requirements set by the CNIL and the European Data Protection Board (EDPB):

  • Consent is obtained before any non-essential cookies are placed on your device - no cookies are pre-loaded awaiting consent;

  • The banner clearly explains what each category of cookie is used for;

  • "Accept all" and "Reject all" options are presented with equal visual prominence - we do not use dark patterns or design choices that nudge you towards acceptance;

  • You can manage preferences at a granular level, accepting or rejecting individual cookie categories;

  • Continuing to browse the website, scrolling, or closing the banner does not constitute consent;

  • Consent is recorded with a timestamp and version identifier so that we can demonstrate it was properly obtained.

4.2 Withdrawing or Changing Consent

You can change your cookie preferences or withdraw consent at any time. There are two ways to do this:

  • Cookie settings link: A persistent link in the footer of every page on our website allows you to reopen the consent banner and update your preferences at any time.

  • Browser settings: You can also manage and delete cookies through your browser settings. Instructions for the most common browsers are available at www.allaboutcookies.org.

Withdrawing consent will not affect the lawfulness of any processing that took place before you withdrew it. However, some features of the website may not function as intended if certain cookies are disabled.

4.3 Consent Renewal

We will ask for your consent again after 12 months, or earlier if we make significant changes to the cookies we use or their purposes. This ensures that your preferences remain current and informed.

5. Managing Cookies Through Your Browser

Most web browsers allow you to control cookies through their settings. You can typically:

  • View the cookies that have been set on your device;

  • Delete all or specific cookies;

  • Block cookies from specific websites;

  • Block all third-party cookies;

  • Block all cookies (though this may significantly impair website functionality).

Browser-specific guidance is available at the following links:

  • Google Chrome: support.google.com/chrome/answer/95647

  • Mozilla Firefox: support.mozilla.org/en-US/kb/cookies-information-websites-store-on-your-computer

  • Apple Safari: support.apple.com/guide/safari/manage-cookies-sfri11471

  • Microsoft Edge: support.microsoft.com/en-us/microsoft-edge/delete-cookies-in-microsoft-edge

You can also opt out of interest-based advertising across participating companies by visiting www.youronlinechoices.com (EU) or www.aboutads.info (US). Please note that opting out does not mean you will no longer see advertising - it means the advertising you see will be less tailored to your interests.

6. Third-Party Websites and Embedded Content

Our website may contain links to third-party websites, or embed content from external platforms such as YouTube, LinkedIn, or social media providers. When you interact with embedded content or follow a link to a third-party site, those providers may set their own cookies on your device.

We are not responsible for the cookie practices of third-party websites. We encourage you to read their respective cookie and privacy policies before interacting with their content.

7. Cookie Data and International Transfers

Some of the third-party cookie providers listed in this policy, including Google and Meta, are based in the United States. Where cookies or the data they collect are processed in the US, we ensure appropriate safeguards are in place. Both Google and Meta participate in the EU-US Data Privacy Framework and equivalent UK arrangements. Where providers are not covered by these frameworks, we rely on EU Standard Contractual Clauses (SCCs) or the UK International Data Transfer Agreement (IDTA).

For further details on international transfers relating to personal data more broadly, please refer to Section 9 of our Privacy Policy.

8. How Long Is Cookie Data Retained?

The duration of individual cookies is set out in the cookie consent banner on our website. As a general principle:

  • Session cookies are deleted automatically when you close your browser;

  • Persistent cookies expire after the period set out in our cookie consent banner, or earlier if you delete them manually;

  • Analytics data derived from cookies is typically retained for up to 26 months before being anonymised or deleted;

  • Consent records (proof that you gave or declined consent) are retained for 3 years to demonstrate regulatory compliance. We review cookie durations periodically and aim to use the shortest practicable lifespan consistent with the stated purpose of each cookie, in line with CNIL recommendations on tracker lifetime.

9. Your Rights

In addition to your right to manage cookies through our banner and your browser, you have the following rights under UK GDPR and EU GDPR in relation to personal data processed via cookies:

  • Right of access: You may request details of what personal data we hold about you, including data collected via cookies.

  • Right to erasure: You may ask us to delete personal data collected about you via cookies, subject to any legal obligations we may have to retain it.

  • Right to object: You may object to processing based on legitimate interests (which applies to strictly necessary cookies).

  • Right to withdraw consent: You may withdraw consent for non-essential cookies at any time as described in Section 4.

To exercise any of these rights, please contact us at info@boardsummits.com. Please refer to our Privacy Policy for full details of all your data subject rights.

If you have a concern about how we use cookies that we are unable to resolve, you have the right to complain to the Information Commissioner's Office (ICO) at www.ico.org.uk, or, given that the BOARD event takes place in Monaco, to the Autorité de Protection des Données Personnelles (APDP) at www.apdp.mc. EU or France-based users may also complain to the CNIL at www.cnil.fr.

10. Specific Note for Users in France

As a UK-registered company, Board Summits Ltd's primary data protection regulator is the ICO. However, because the BOARD event takes place in Monaco, we also observe the requirements of Monaco's data protection authority, the Autorité de Protection des Données Personnelles (APDP), established under Law no. 1.565 of December 2024. The APDP has established authority to act in respect of cookies placed on the devices of users located in Monaco, independently of the GDPR's one-stop-shop mechanism, and we treat its standards as binding for the purposes of this policy.

In particular, we observe the following requirements:

  • No non-essential cookies are placed before you have actively consented — inaction or continued browsing does not constitute consent;

  • Our cookie banner presents accept and reject options with equal clarity and prominence;

  • Cookie categories and their purposes are clearly described before you are asked to consent;

  • Consent can be withdrawn as easily as it was given, via the persistent cookie settings link in our website footer;

  • We maintain records of consent as required by applicable law.

If you wish to make a complaint specifically about our cookie practices to the APDP, you may do so via their website at www.apdp.mc.

French-based users and EU residents accessing the website from France may also be subject to the CNIL's jurisdiction in respect of cookies placed on their devices. If you wish to complain to the CNIL, you may do so at www.cnil.fr or by writing to: CNIL, 3 Place de Fontenoy, TSA 80715, 75334 Paris Cedex 07, France.

11. Changes to This Cookie Policy

We may update this Cookie Policy from time to time to reflect changes in the cookies we use, changes in applicable law or regulatory guidance, or improvements to our website. When we make material changes, we will update the 'Last updated' date at the top of this document and, where appropriate, display a notice on our website or ask for your consent again.

We encourage you to review this policy periodically. The current version will always be available on the BOARD website.

12. Governing Law

This Cookie Policy is governed by and construed in accordance with the laws of England and Wales. Any dispute arising out of or in connection with this policy shall be subject to the exclusive jurisdiction of the courts of England and Wales, without prejudice to your rights under applicable data protection law in your country of residence.
